INTRODUCTION

Hello and welcome from the Project Patchwork team.

Project Patchwork is a social forum for women suffering from hidden conditions (chronic illnesses, mental health and physical aids unseen by the general public). We enable you to create your own profiles to connect with other women just like yourself. We believe that support through connection with your equals improves your knowledge of your condition and mental wellbeing.

Our Privacy Policy is here to show you how we keep you safe while using our site (“Project Patchwork”) also referred to as “us”, “we”. The privacy of your information is important to us.

At Project Patchwork safety is one of our pillars so we want to be completely transparent about how we keep you safe. Through the operation of this website, we will collect information about you. As a member we understand that your information may be sensitive as it involves matters regarding your health and wellbeing so we would like you to understand what information is being collected and why.

This privacy policy may change from time to time, we will email you if any changes are made so you are kept up to date. It is your duty to keep us informed of any personal data changes during your membership with us, as it is important all data we hold on you is accurate and current.

YOUR DATA

Your data means any information you provide to us during registration and contributions to your profile and the forum (see personal identifiable information). Personal information is which a person can be identified from but does not include data where the identity has been removed (see anonymous information)

We may collect, use, store and transfer the following data:
Identifiable Information: Full name, username, date of birth, gender.
Contact Information: Email
Technical Information: Cookies, IP address, login data, browser and version, time zone and location, browser plug-in types and versions, operating system and platform, devices.
Profile Information: Username (we will never collect your password), interests, health conditions and aids, location, profile picture.
Marketing Information: your email preferences and third party/communication preferences.

DATA COLLECTION AND USAGE

Your information is collected through the following means:
Direct – you provide us with personal and identifiable information by registering for a membership, providing a donation, purchase of products, request for marketing emails, enter competitions or giving feedback and testimonials.
Automated – through interactions on Our Site where technical information such as equipment, browsing actions and patterns are collected (see cookies).

We only use your information to contact you about the contract you are entering into by becoming a member of Our Site, where you consent to processing, when it is necessary for our legitimate interests (or a third parties) and your interests or fundamental rights do not override those interests, where we need to comply with a legal or regulatory obligation.

FAILURE TO PROVIDE PERSONAL DATA


Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you access to certain parts of Our Site). In this case, we may have to cancel a product or service you have with us but we will notify you if this is the case at the time.

By becoming a member of Our Site you agree to us contacting you via email about your membership. At any time you may wish to opt-out of email communication. Though if you do so you will be agreeing to terminate your membership with us as we need to keep you updated about changes to our legalities and updates to the site. You may opt-out of email marketing and third-party correspondence without losing your membership privileges. If at any time you do not wish to receive offers, discounts, competitions and marketing e-mails from us or third parties we ask that you tell us. In order to register with us and become an account holder, you will be invited to provide a password, a user name and an email. If you forget your password, we may ask you to answer a specific question such as your username, date of birth or postcode. Furthermore, you are entirely responsible for any and all activities that occur under your account.

None of your personally identifiable information (i.e. email address, postcode/zipcode, date of birth) is ever visible to other users or third parties without your explicit consent. We encourage you to choose a non-identifiable username as this is visible to other users.

If you choose to use a username that may identify you, then certain information you choose to post may be identified as your data. This may also happen if you upload a photo of yourself, or a likeness of yourself, as a profile picture. Prior to posting any photo or likeness of you, choosing a username that may identify you, and/or post other information that may identify you, you should carefully consider whether you:

- wish to be identifiable on Our Site; and
- want to post information that may be capable of being linked to you.
When you do this is deemed as public data despite our site being a closed, members only forum, your information is viewable by other members who may use it to find you outside of our site. As such this information is deemed public.

DATA RETENTION

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements. Generally, once an account has been closed we will process your data only for limited purposes, and would generally look to delete or anonymise data on inactive accounts after 5 years.

Under certain circumstances, you have rights under data protection laws in relation to your personal data. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

CHILDREN’S POLICY

This site is not meant for children under the age of 16 years old. We do not knowingly collect information pertaining to or market to children under the age of 16 years old. In registering as a member you are acknowledging that you are aged 16 or above. If we become aware that a child under 16 has attempted to set up a profile we will take steps to remove the profile and delete the child’s account.

TRANSFER OF CUSTOMER INFORMATION 

Company customer lists and information are considered business assets and as such, in the event that we merge with another entity or if we sell our assets to another entity, our business assets, including our customer lists and information, would be transferred to that entity.
If you do not wish the personal information you provide to be subject to this possibility, you should deactivate your membership by notifying deactivate@theprojectpatchwork.com and including “DEACTIVATE” in the subject line or by deleting your account in your account settings in Our Site.
